Top Ten Copier Proposals from September 2012

The Print4Pay Hotel forums had a banner month for September of 2012.  In total there were 20 copier/MFP proposals that were uploaded the our Proposals/Document Library forum.

Sometimes we'll get quotes/proposal documents from the field that are emailed (we upload those to the site) and at other times we'll get emailed pricing that a Print4Pay Hotel member saw, with these we then create a document that can be downloaded called "Pricing on the Street" . These documents will have the purchase price, the lease price, the maintenance cost, the overages, where the pricing came from (state) and what accessories were included. We also have a promotion that allows a member to email two proposals and he or she will get a FREE Premium Membership.

Seeing the proposals from others is just part of the learning experience, I still enjoy seeing proposals from other sales people, some are quite good and some really stink!  However, I'll admit that I will borrow ideas and layout of proposals I like.  Let's face it I'm selling just like you and really how many times do we get to meet the DM these days.  Maybe 70% of the time, so I need to put my best foot forward with a proposal that will capture someones interest and make it stand out from the crowd.  Seeing all of these proposals enables me to stay current with the competition and deliver a professional proposal that is on point.

Why RFP for Copiers don’t work anymore. Who’s buying just copiers?

Actually if all your company needs is a “copy Machine” then an RFP (Request for Proposal) WILL work for your company.

But when was the last time your company or organization purchased a “Copy Machine” – a machine that JUST MADE COPIES?

Don’t you buy MFDs or even Smart MFDs? Do they Scan, Print, and do Network Faxing? Are you leveraging the power of your Smart MFDs by loading software on them that extends and enhances their capabilities to connect into your network infrastructure or back end servers? If not than you are missing out on the REAL SAVINGS that a Smart MFD can bring to your company. Have you ever heard the phrase “strain at a gnat, but swallow a camel” that describes the process as it relates to a traditional copier RFP. Because the focus is on trying to make all of your vendors look exactly alike, so you can force the cheapest price for the dumb down comparison that the RFP requires. There is a better way to do an RFP.

If you work in purchasing and you are responsible for the “Copier RFP” and your biggest concern is replacing like for like features (50ppm and duplexing) at the cheapest price then you really need to update your process, and broaden the input you receive from other departments like IT, Compliance, Governance, Security, and Operations. If you don’t get their input as to what they need then you will buy the cheapest “copy machines” that will NOT meet any of these departments needs, so they will need to go out and purchase other devices that will cost your company more than necessary because your Copier RFP did not consider their needs. Or worse yet, you actually thwart their projects or requirements because the bargain copiers you bought can’t do what they need.

10 Tips for a Successful MFP Walkthrough

Just yesterday this question "I'm searching for best questions to ask on a walk through. New to the industry and would welcome your input." was posted on the Print4Pay Hotel forums.

I thought it would be a good topic for everyone.

Emie (Louisiana) posted:  "I'm searching for best questions to ask on a walk through. New to the industry and would welcome your input." and then "Working on a bid proposal and have scheduled a walk through at the client's locations. I'd like to know specific questions and or best practices that I should use when doing the walk through."

Chuch (Arizona) posted:  "Bids are very precise things versus a RFP/RFQ's or Quotes. If a bid and you can offer something no one else can then push for your strengths to be included e.g. if you can offer PCL at no cost (or PPDM) try to have it included. If its a large opportunity do a SWOT (Strengths/Weaknesses/Opportunities/Threats) analysis over your known competition. If its an RFP or RFQ I've had good luck by offering something of true value that others would charge extra for, this sets you apart and gives reasons for justifying a higher cost."

Me (New Jersey) posted:

1. Take a picture of each device (this helps jog the memory banks)
2. Takes notes for all accessories or options on each device
3. Find users for the device and ask them what type of media do they print onto (card stock, envelopes, ncr, bond paper, etc..)
4. Print out a configuration list for each device
5. Ask a user what they like most about the system and then ask what they dislike the most
6. Ask a user what paper sizes they are printing, scanning, faxing or copying onto
7. Record serial numbers and or ID's of each device
8. Print a meter count from each device, the more comprehensive the better
9. If possible make of map of the device locations along with department names and key user
10. Drill down or aks if they are using OEM or Third Party apps with the device

Walkthrough's use to be simple.  As the population of "Smart" MFP's grow along with the use of embedded solution software we'll need to be diligent with our process of each device.

My favorite is to make a map of the location and place the MFP's in the departments with a comprehensive list (like the one above) for each device.

Weekend Copier & Multifunctional Print4Pay Hotel Notes 6/11/2011

My apologies for not posting as many blogs,  it's been very busy with selling and baseball.  My summer Collegiate Baseball Team is now 0-6, not a good way to start the season, however we have only one place to go and that's up!

The baseball season is very long and it's not all about winning, it's about having the right attitude, playing the game the right way, working hard to improve your skills, working with a team, and trying to out think the other player (hitter or pitcher) and the other team. I follow the three D's of Baseball which are Desire, Dedication and Determination, believe it or not these three core values can take you through life to be the best at any sports and can help you through your selling career also.

Desire to be the best and a true professional in what you do.
Dedication to the industry or the sport. Eat, sleep and breath everything you do.
Determination to get back on your feet and never ever give up, out work everyone else and you'll be in a winner in whatever you do!
