Top Ten Copier and MFP Proposals for January 2013

Nothing stunning this month from the proposals that were uploaded to the Print4Pay Hotel forums last month. What I am seeing though is a slight rise in cost per page in down the street business. We'll have to see if this is a new normal.

Each month on the Print4Pay Hotel forums we'll upload "Pricing on the Street" quotes, these quotes are certified as accurate since the pricing information is emailed to us from other Print4Pay Hotel members in the field.

We'll also receive and upload quotes and proposals from other Print4Pay Hotel members and these quotes will be "the proposal or quote" that was emailed to the end user.

Each month I'll list those proposals/quotes and "Pricing on the Street" here with the associated links.  You need to be a Premium Member in order to download the documents.  So without further ado here's the top quotes from January 2013.  Enjoy!

When one checks into the Print4Pay Hotel it’s the guests who receive tips, not the staff. The Print4Pay Hotel: The Imaging Professional's Resource Center is a Website (www.p4photel.org) and message board focused on providing extensive imaging product information to resellers as well as a forum for imaging industry personnel to share knowledge. Although most members work for different dealerships, virtually all sell and service the RicohLanierSavin, Sharp, Canon, KonicaMinolta, Toshiba, Muratec, Okidata, Lexmark, Xerox  and Kyocera family print devices.

The site also contains an impressive collection of documents, price quotes, competitive proposals, self help documents, RFP's, and brochures on various manufacturers office equipment. Art Post, CEO of the Print4Pay Hotel and Docusultant with Century Office Products in Edison, NJ, is the architect behind the Print4Pay Hotel. The site allows digital imaging specialists to share information and find answers quickly, says Post. It's also a place where imaging professionals can store their knowledge, search their knowledge, and share their inspirations, ideas and passion for the industry.

Oce is to CBS as Ikon is to RBS. True or not True

After 300 plus reads in a week, seems like Vince McHugh hit the nail on the head!  For those who have not read Vince's blog here's a snippet with a link and then don't pass up on the responses from our Print4Pay Hotel Members!  They are classic!

You gotta love the insight from Vince McHugh about Canon and OCE. He's dead on with the Ricoh/Ikon thing and dead on with the coming merge of Canon/Oce. Read and enjoy especially you Ricoh folks that have been slamming me for years, seems you're not the only dog on the block looking for a new fire hydrant! Vince....great stuff!!

In case your math skills are a little rusty the equation reads Oce is to CBS as Ikon is to RBS. True or not True. Here is my argument for True:

The carnage at Ricoh Business Solutions continues as the Ikon takeover of RBS moves into it’s final stages. Ikon’s management is firmly ensconced in upper and middle management of RBS. And guess who they are bringing along for the ride? All their Ikon friends. The loyal RBS employees are being squeezed out!

Ricoh "Where's the ICE"?

First four lines of "Ice Ice Baby" by Vanilla Ice, which brings me to Ricoh ICE (Integrated Cloud Environment)  solution or the lack of it. I was floored when I read the first three lines of the lyrics and I was tempted to change the lyrics for this blog.

 Last May 2011 at the Ricoh Vision Dealer Meeting we were told about Ricoh new ICE solution.  The solution in short would consist of three cloud solutions that would have an annual fee (need to make it monthly guys), the three packages were Silver and you get scan2email, scan2evernote (evernote provides it own OCE & searchable pdf), the GOLD packages adds scan2google docs, scan2box of OCR and Excel files (good for only 2 users and 4GB of space, PLATINUM increases users to 20 and adds an additional 16GB of space.

Last May Ricoh gave us a preview of ICE at the 2011 Ricoh Convergence Dealer Show,  I didn't go to the booth and I should have because I'm thinking ICE  was not even running at the time (I could be wrong). If you're going to run ICE or any othr Cloud solutions on a Ricoh MFP you'll need order the browser unit for $170,  I'm thinking that this should be standard with all of the systems, but a recent rumor had told me that the official launch is now slated for November of this year and not a Convergence which is set for the first week of June in Vegas.

I've been told that Ricoh Europe has had the browser units running on the European Ricoh MFP's for over a year now. I had know of one solution provider UDOCX is already supported Ricoh and Xerox systems with a "Cloud Based Document Processing Service" and today I just found Fabasoft which offers Cloud Integration to Ricoh MFP's.

I believe that Cloud Integration of MFP's offers end users a multitude of choices and services that can make companies just as productive as their employees.  While I'm at it I also believe that there needs to be open open operating systems for all MFP's.  Manufacturers needs to adopt the Andriod OS and I think you'll see terrific apps that will be developed for MFP's.

But, what I really wanted to talk about is that there are applications available right now that will allow your MFP to have some sizzle.  Dropbox, it's free, you can get 2GB of storage and guess what?  You can set this up as a scan2dropbox  folder right on the MFP. It's awesome, no more scanning to folder or scanning to email or emailing the document back to myself.  Wait.... Dropbox also has an Android app!  How cool is that, all of my files on my phone!  Walk up to the MFP press my dropbox button and away it goes.  How about adding a PS option to your customers MFP's, include it in the deal and make sure they set it up.  Then you'll be able to print from your dropbox account when you're at the customers office .

How about the UDOCX solution it's available in the US, it's not expensive and you'll have scan2sharepoint, cloud printing and scan2fax!
Point is, for most of us that are selling Ricoh or Savin, we're get our butts kicked with similar solutions that are already in place from other manufacturers.  Take the time to check out Dropbox, UDOCX and Fabasoft you'll be glad you did and you'll be on your way to selling cloud solutions.

Betcha I don't get an invite next year either :)

Nobody Ever Got Fired for Buying a Xerox

Harry Hecht is our Guest Blogger for April, and according to Harry he's been in the office equipment business since Chester Carlson invented Xerography, and a little known secret is that Harry was actually Chester's assistant! Really???  Harry's been around for as long as I remember, and he always brings inspiration, vision and a can do attitude!

I asked for a couple of sentences in reference old copier companies for a blog I'll be posting in a couple of days, true to form, Harry gave me just a tad bit more, so without further adieu, enjoys Harry's ditty about the good ole days in the copier business!

Do you remember the days when a complete copier line included one or maybe two models? Selling at full retail was not only a possibility but a regular occurrence? When Xerox owned 90% of the market and the saying that "nobody ever got fired for buying a Xerox" was an unfortunate reality for the independent dealer? I may be dating myself, but I remember those days well and had to still have a lot of respect for the competition, camaraderie and "wild west' aggressiveness of many of the entrepreneurial manufacturers that competed against each other during the 70s and 80s.

Here are some copier manufacturer names that may serve as a blast from the past for many of you. Names like IBM, Kodak, 3M, Saxon, Royal, Apeco, Savin, Van Dyke, Escofot, Olivetti, and Mita just to name a few. These companies hit the streets with Direct and Dealer Sales forces with the hope and confidence of stealing business away from THE BIG X. The products sold during that time were crude, barely passed a copy, and in some even came with tongs and fire extinguishers -just in case there was a jam and a fire broke out. Oh those were the days. No need to worry about supply pirates and 2 hour response time. Profit margins were Huge and and the Yen was valued over 500 Y to the dollar. Getting in front of customers and demonstrating your product using the sales order ( already filled out ) was sales training of the day. Your manager would say" don't leave the office without an order"!.Talking about pressure. If a customer accepted your demonstration, your competitor would be in the lobby waiting their turn to try and hammer out a deal on the spot and or leave the machine in the customers office until they fell in love with it or just used it and stroked you along- yikes!

Well, time to wake up to a new  and renewed set of technology companies now entering the copier and printer space. Samsung, Dell, Lexmark, Brother, Epson plus all of the Big Players- Konica Minolta, Canon, Xerox, Ricoh, Sharp, Kyocera. Where does it end?. We now deal with information overload, the world wide web, 1,000s of SKU product numbers, accessories, tight margins and 40% discounts. What the heck happened? Opportunity is still there for all of us, however success and prosperity is a game of inches verses miles. Without knowledge and a well thought out plan and execution, who knows who the next fallen Angels list will look like.

Copier Dealership Gone BAD!!

I gonna try and keep this short. Visited a new account, could not get them for hardware since they just contracted for a new copier, however they stated they were unhappy with that dealer and already moved forward with another dealer because "we have a special relationship with bankone leasing and we can eliminate the old lease", hmmmmm, sounded hokie to me, but I was able to book them for a network service appointment because they were looking for a new IT provider.


Two weeks later, myself and our IT SE are there for the network appointment. On first glance I saw the new Savin copier, and I thought, gee guess all is well and we went in for the network meeting. I handed off to my IT SE and he did most of the talking, we then needed to make a copy of an inventory sheet of the PC's and what the customers issues. Off I went to the Savin, when I arrived, I was thinking to myself, dam, I should have made the stop two weeks prior and I would have gotten this nice 65ppm color device instead of the other dealer.

So, I put the originals on the finisher and I ran my hand across the finisher as to say "nice machine" (I gotta stop that), but something felt wrong... I looked at the model number and it was a Savin 6045 (odd), my suspicions were up, so I then checked the meter. Well the meter read 300 color and like 500 black. Ok, somethings still not right, I opened the front panel to check inside and low and behold on the inside of the door was the graphic instructions on how to install toner and remove a paper jam. One thing though, the instructions were "yellowed", %$#% I thought, this dam thing is used and they set the meter back to zero (rotten bastards), so I did another check on the document feeder just to see if the unit may have been refurbished/used/cleaned, thus the reason to turn back the meter. The inside of the document feeder was dirty, thus the machine was probably PM'd and cleaned.

When I went back to the administrator I question her on the system. "Do you know you received a used system"? She hesitated and then stated that they never discussed whether the systems (you means there's more than one) were to be new or used, they just needed a different solution. Ok, by her look when I stated the "used" question I think she very surprised.

So, I left well enough alone, later we went downstairs to look at additional pc's and there was the other copier. I went and checked that one also. That meter had been reset, and it was also used.

Later we were back upstairs and I noticed another copier, however it was being used as a fax (Ricoh 201SPF with SAvin label), so I asked why the separate machine for the fax, why couldn't they just put the fax option in the new color system? I was then told that they had called and the machine couldn't be configured with a fax option and they would have to add this other system. Alright I thought, you really got taken.

So, here's my beef, if the systems were suppose to be used then why would the dealer reset the meters to zero? In my eyes there's no need for that unless you are truly buying or leasing a "refurbished system". There's no way these systems were refurbished.

My gut feeling is that they (dealer) saw an opportunity and exploited the customer. let's face it NO ONE, can eliminate a lease that is three months old, unless you build it into the price. In this case they probably started with new pricing for a 65ppm color and 50ppm black and then went to used units to cover the amount on the old lease. Thus, I'll bet dollars to doughnuts that the lease they signed does not state the equipment is USED.

But, what a shame it is that something like this happens in our industry, I know the dealer who did this, not personally but know of them (would never work for them). Plus, the account is a church.

As the Administrator stated that "they never discussed new or used". I'm thinking she's covering her own ass, but why the dealer turn the meters back to zero unless they are hiding or misrepresenting something!!!

Who Makes the Best Multifunctional Copy Machine?


Since I started blogging about multifunctional copiers a few years ago, this question is at top of everyone’s list in the emails I receive.

Who Makes the Best Multifunctional Copy Machine?

To me it's not a question of who makes the best, the question that should be asked is "Who gives the best support?"

It's my general belief that most multifunctional copiers are equal when it comes to performance, quality, features and reliability. When leasing or buying a multifunctional copier you need to pay attention to the people that stand behind the piece of equipment. There's a saying in our industry, "that the lowest priced copier (equipment) is long forgotten after poor service", isn’t that the truth!

It's the people, the guy or gal next store, the cousin, the uncle or the friend. When you select good professional people even the worst machine ever manufactured could be the best system you ever purchased or leased.

How do you find these professionals?

Well there’re out there, and they’re usually not the companies that have the lowest price. Dealers and Direct Branches that excel have additional layers of support that are designed to support the customer at a moment’s notice, by either repairing the equipment right the first time, having a large inventory of parts and having experienced expert professionals to help with the complexity of these systems.

In essence when shopping for a multifunctional copier system, do yourself a few favors. Check out the people in the organization. Ask them how long they've been doing this and how long they've been with the company. If there is tenure, odds are the company that they work for are true professionals and experts with multifunctional systems.

Ok, so some of you may still be asking what's the best? I believe there are three tiers of manufacturers for multifunctional copiers. Here they are in the tiers.

Tier I: Canon (includes Oce), Ricoh (includes Savin and Lanier), Xerox and KonicaMinolta (all are equal in my eyes, it will come down what features work best for you)

Tier II: Kyocera, Toshiba, Sharp (market share is lower than the above group)

Tier III: Muratec, Samsung, Okidata, HP, Lexmark

Although most members work for different dealerships, virtually all sell and service the Ricoh, Lanier, Savin, Sharp, Canon, KonicaMinolta, and Kyocera family of machines.

The site also contains an impressive collection of documents and brochures on various manufacturers office equipment. Art Post, CEO of the Print4Pay Hotel and Docusultant with Century Office Products in Middlesex, NJ, is the architect behind the Print4Pay Hotel. The site allows digital imaging specialists to share information and find answers quickly, says Post. It's also a place where imaging professionals can store their knowledge, search their knowledge, and share their inspirations, ideas and passion for the industry.


Launched seven years ago on a Yahoo! community, Post eventually switched to an MSN community to take advantage of additional features, such as additional memory which allowed him to include product brochures and photos that could be downloaded for proposals. Post notes that the purpose of the site isn’t to show how smart its members are and encourages visitors not to be afraid to ask questions. I think it's the real skinny about what the products can and can't do, says Post, plus the ability to get information quickly. Too often we call a product manager or district sales manager and don't get a call back in a timely manner, and then when we get the call, they say they'll get back to you if they don't know the answer. This could take a few more days. Adds Post, The reason we're asking the question is because the customer or the potential customer asked the question and these days you must be on top of your knowledge because if you aren't someone else is, and that someone else may get the sale or the heads up in the knowledge area. I've stated many times on the P4PHotel that with more than sixty pieces of hardware and 30 pieces of software, none of us are experts. However, we all have a certain expertise in different markets or different hardware and software. The Hotel allows us to share our information and then we as a group are more knowledgeable in all of these markets along with hardware and software.

The inspiration for the site came from a message board on Ricoh's sales/support extranet site. I thought I could do a better job and unite Ricoh, Savin and Lanier salespeople so that everyone could share information and knowledge within minutes, notes Post. Post subscribes to the notion that the days of selling boxes is over and that dealers must focus on selling solutions. In order to do this, not only are we required to know our own products but we must also know our competitor's products almost as well as our own, maintains Post. While we are doing this, we still must prospect, consult, evaluate, listen and then close the sale.

Since opening its doors in 2001, the hotel has grown to over 2,000 registered members and averages over 1,000 page views a day. Members aren’t limited to the U.S., the site has members from around the globe, including more than 116 different countries.It's not easy managing an Internet site, especially one that requires a constant flow of information and exchange of ideas. When asked what the biggest challenge of this Internet enterprise is, Post replies, The constant dedication to post new information, answer questions and grow membership. Post spends at least two hours per day on the site.

As with any discussion board, there are a number of topics of interest that seem to resonate more with members than others. Although Manufacturers do not sanction the site, Post reports that some of his contacts have told him that what he is doing is great and needed in the industry. That said, Post is aware of some sales manager's who are uncomfortable with what he's doing. I guess we have united Copier Salespeople across the country and now good and bad news travels quickly, opines Post. So, if a product bombs or a if a product is exceptional we get the word out to our members immediately.

Post believes the site has been a boon to his and other member's sales efforts even if there is some uncertainty from the manufacturer side. We know we're kicking butt with our products and all of our members are busy selling, maintains Post. All we're about is sharing information, sharing knowledge and sharing product information to support ourselves and our families.

Copier Questions Forum Launched!


The p4photel has just released a beta version for Copier Questions Message Board Forum. The Copier Questions Forum is designed to give end users the ability to ask our Docusultants questions that pertain to copiers and office equipment.


The Copier Questions Forum is the first forum dedicated to end users where they can have their questions answered from our p4photel members. Members will be able to monitor the boards and assist end users with tips, provide answers and even provide consulting advise to those looking to purchase a new system or evaluate their current cost and document workflow.


Registration is free, and like other p4photel forums there is no cost to become a member. Please take the time to visit, and ask questions. We will be adding additional features to the Copier Questions Forum in the upcoming months.
