Top Ten Copier and MFP Proposals for April 2013


Well, if you tuned into lasts months Top Ten Copier and MFP Proposals for March 2013. I stated that April 2013 business was going to be marginal at best, and that was the case. But, I have over $230K in the pipeline and it's time to make things happen.

On another note, we'll be moving the MFP Solutions Blog to a new site.  I'll be able to condense all three sites into one site. The main objective is to save me time and to bring some of my ideas to the masses.

MFP Solutions Top Ten Copier & MFP Blogs for March 2013

Spring comes to the Northeast, finally!  Over the long weekend I found myself thinking about a potential sale, my prospect sent me an email on Friday (day off for me) and advised that he was in the market for a high end color system and would be making a decision ASAP, probably in a few days.

I've got competition from two major players and the last time we did this I lost out on the high end black system.  Friday night saw me exchanging emails, doing a side by side comparison and tonight I'll be preparing my numbers and pay them a visit in the AM.  Just goes to show you that you never know what tomorrow will bring and our job is not a 9-5 effort.

15 Ways to Make your MFP & MPS Proposals Standout!

Over the years I've seen a lot of really bad Copier and MPS proposals and some very good ones. The very bad ones far outweigh the very good ones.

AS much as we always try to get in front of the decision maker(s) there are many times when we just can't get the access to the DM and we have to submit a proposal to the gate keeper that will then forward the proposal for a decision.

What can make your proposal stand out from all of the others?

1. Make sure the proposal is perfect, no misspelled words, no wrong model numbers and no abbreviations.  I'd like to point out that abbreviations can make you seem lazy because you didn't take the time to type out the entire words,  and this can be seen as taking shortcuts, the last thing I want is the DM thinking is that I'm lazy or not putting the full effort in on something as simple as a proposal.

2.  Call to action items which can include value points, list of features and benefits to the prospect.

3. A lockout solution/feature, if you did you an awesome assessment you'll probably have one or two solutions or features that will make you stand out. Make sure that you list what your solution or feature is going to do for them such as:  "On our assessment we noticed that there are many prints being left on the copiers and printers that are never picked up, in addition these documents have personal information on them.  Our device agnostic Print Secure software will eliminate those pages being left on the printers and copiers, and in additional all of the pages that are printed will have a banner on the document stating who printed that document."

4. If you have multiple systems to quote add a floor plan showing the existing systems and what systems will be moved, replaced or retired.

A Unique MFP Proposal with the Help of Ben Franklin

Some of us do ROI presentations and some of us don't. For those who don't you're missing opportunities! Do not leave any stone unturned when consulting on current costs for the total cost of operation

Recently, I had the opportunity to quote for two MFP's in two workgroups. First thing I noticed is that every desk had a laser printer on it. Below is a run down of the two work groups:

Workgroup #1 (6 people)
  • 6 laser printers

  • 1 fax

  • 1 large copier (MFP) however it was not connected
Workgroup #2 (8 people)
  • 8 laser printers

  • 2 fax (one for inbound and one for outbound)

  • 1 large copier (MFP) this also was not connected
I did my usual routine, gathered config sheets from every printer, got the meter reads from the copiers and printer along with the reports from the faxes for inbound an outbound pages. Once I gathered all of the information, I went back to office and looked up the cost per page for each device and put together a ROI spreadsheet for the customer.

Nothing stunning this month from the proposals that were uploaded to the Print4Pay Hotel forums last month. What I am seeing though is a slight rise in cost per page in down the street business. We'll have to see if this is a new normal.

Alarming it's all I can say about a recent price/proposal I saw from a Kyocera Dealer that was quoting a penny per page for full color!  As I stated in a recent email to Print4Pay Hotel members if you're not aware of this new pricing strategy, well...then you're going to lose every deal!  Take a gander at these recent proposals from Kyocera and you'll see what I mean!

Top Ten Copier Proposals from September 2012

The Print4Pay Hotel forums had a banner month for September of 2012.  In total there were 20 copier/MFP proposals that were uploaded the our Proposals/Document Library forum.

Sometimes we'll get quotes/proposal documents from the field that are emailed (we upload those to the site) and at other times we'll get emailed pricing that a Print4Pay Hotel member saw, with these we then create a document that can be downloaded called "Pricing on the Street" . These documents will have the purchase price, the lease price, the maintenance cost, the overages, where the pricing came from (state) and what accessories were included. We also have a promotion that allows a member to email two proposals and he or she will get a FREE Premium Membership.

Seeing the proposals from others is just part of the learning experience, I still enjoy seeing proposals from other sales people, some are quite good and some really stink!  However, I'll admit that I will borrow ideas and layout of proposals I like.  Let's face it I'm selling just like you and really how many times do we get to meet the DM these days.  Maybe 70% of the time, so I need to put my best foot forward with a proposal that will capture someones interest and make it stand out from the crowd.  Seeing all of these proposals enables me to stay current with the competition and deliver a professional proposal that is on point.

Selling Copiers & MFPs "The Quarter Aint Over Till It's Over"

The end of the third quarter draws closer and closer.  My end for the quarter will be September 24th, since the 23rd is on the weekend. I'm surprised that I haven't received an email yet that we'll be closing the month on the 21st because the bean counters can't keep up with the orders! hehe

Sales is always what you make of it, if you have to have the Desire to be the best.  After 33 years in down the street sales I'm still  not satisfied with just making quota, not just satisfied with eeking out a living.  For some reason I need to BE THE BEST, all of the time and if I'm not then watch out because I'll outwork the other person to BE THE BEST.

As I move into the last quarter of the third quarter, I've got a lock on Presidents Club again (the wife will be happy) and I find myself in need of 30K (to make the top tier of 166% of quota) in sales for the final 7 selling days of the quarter. Some may look at the final 7 days and say oh my gosh, how am I going to do this I have only 7 days left!  To me 7 selling days means that there is still 33% of the month left and it should be more than enough time to get the numbers I want.

In my bucket for the month I believe I have almost 90K of opportunities that have a shot (even the slightest chance of closing) of closing before the end of the quarter.  Out of this list I have a target of six accounts that have more than a 50% chance of closing. That 50% chance equals some $50k of business, the business is there I just need a little bit of luck (the harder you work the luckier you get), and some pre-planning to get what I want.

I prepare in advance a plan to close the sale, most of my sales can center around ROI (return on investment) and or lower costs, this can make it a no brainer to move forward NOW. So, lets take an appointment that I have tomorrow with an incumbent account.

This particular account can be a problem account, they have more than two years left on a lease for a color MFP, but they are blowing out their color prints to the tune of overages each quarter that are exceeding $3,000.  From the review that I've done is that their color volume has exploded.  So tomorrow I'll be there with a report analysis for the last 12 months for the lease cost and the service/supply costs. I'll also have a projected solution to upgrade the current system to another that has a much lower per page cost.  Thus, I'll be able to present the customer with an immediate savings proposal, however what I'll also have is all of the paperwork ready to sign the deal on the spot (the lease, the ma and the sales order). Why wait and make another trip, right?  If they agree then off we go with the order. 

My point is that we should always be prepared to close, you nor I can tell the future nor the outcome of any meeting.  Sales is not a 9-5 job, I'll be doing the paper work after I finish this blog tonight for this particular customer. Why? Because I want the darn sale tomorrow!

Top 5 Reasons Why I Collect Copier & MFP Proposals

I was asked the other day by one of the new reps in the office why I always ask for a copy of my competitors proposals.  The first thing that came to mind was... this would be an awesome topic for my blog!  Amazing where the ideas come from and I'd like to give thanx to that person in my office. 

Here's my top five reasons for collecting quotes and proposal
  • Winning:  It's the feeling of accomplishment when you come back in the office with not only the order but a copy of the other(s) proposal.
  • The Need to Know who my competition is and how they presented their information, sometimes you never get to meet with Mr. or Mrs. Right until the very end. 
  • The Need to Know how my competition presented their pricing, were they just quoting leasing, did they have purchase prices, were they presenting a professional financial proposal or just winging it with a vague MS word proposal.
  • Why did I win, did I win on price, did I win with professionalisum, did I have a better solution or did they just like me better :). You always need to ask yourself WHY I won the dealer or WHY I lost the deal.
  • Knowedge is the key to winning right, if I run up against them again I may have been able to see some weaknesses in their quote/proposal or something they were vague on.
Something else I try to use is to not only get a copy of the proposal but to ask if they have a copy of the order form.  If you can get one of these always turn to the terms and conditions, you may be able to pick something out that will help you in future deals. I've said this before, basically we're all stealing business from each other. I get some of your business and you get some of mine, hopefully I'll get more of your than you get of mine.  On a recent order form that I found out that a competitor actually had a clause in their term and conditions that allowed them to charge "x" amount for scans if they determined this was appropriate for the account.  How much fuel surcharges, and additional training.  All of these can be found in either the proposals or the order forms.

MFP & Copier Industry Weekend Notes 3/4/2012

Copier Proposals And Quotes that we've Seen

Over the years one of the biggest attractions of the Print4Pay Hotel forums is the "P4P Hotel's Industry Proposals & Quotes" Forums. To date we have over 300 quotes and proposals that are available for download.

These quotes are pretty much "badges of honor", if you lose the deal you're not asking he customer for the copy of the are you?  Winners make things happen and yes Winners are able to get the copies of the Losers quotes.  I find these quotes to be invaluable, for example how a certain dealer, salesperson or direct branch will go about designing the proposal (and there are some really good ones), along with how poorly some will design one. Believe me, in my proposals and quotes I taken some of the really good stuff and incorporated into my own.  So you can learn from seeing other companies proposals and quotes.  Plus, there's more much when reading between the lines as to what is on the proposal and what isn't.  It's the what isn't on the proposal that tells the take of how to attack a weakness in the future.
