Early to Bed and Early to Rise? Not me, I hung around the sports bar Tuesday night and spoke to many P4P members, it was a good time put a face on the member.

I spent most of Wednesday morning after breakfast in the Transform Exhibit area.

Oki with NOC in a box was a really cool spin for dealers that would like to get into MNS, however they lack the resources for a full blown plan.

Muratec, also offering an even better version of MNS at a super price. Their program was extremely interesting

Document Management Software Drives Additional Click Revenue!

While at the BTA Winter Break event in Orlando I paid a visit to the Docuware booth.  I've been aware of Docuware for sometime, never had the chance to use their solution, but wanted to see if they had anything that was unique and special with Document Management and MFP's.

I was able to speak with Mary Williams who is the Marketing Communications Manager for Docuware, and she told me about a new feature with Docuware that would enable an MFP user to scan the Docuware archive from the MFP, select that document and then print that document from the MFP!

Whoa, I thought that was an awesome feature. I was not aware that this technology was available.  I asked Mary for some additional information on this.  Today I received the document which is titled "CONNECT to Toshiba Version 2", the first line of the document states Turn your Toshiba MFP into a portal to Docuware.

What is Print Management? How will it benefit you and your customers?

Despite the fact that print management has become a ubiquitous term there is still considerable 
confusion about what exactly it is and what its benefits are. Many people confuse print management and fleet management solutions, but the two perform very different functions.

Fleet management (or device management) solutions are used to collect meter reads on imaging devices and perform service functions such as supplies management and service history tracking.

In contrast, a comprehensive print management solution allows organizations to capture and control every print job that occurs in an environment. Print management solutions also enable organizations to control who can print to where and can be used to alter user behavior by setting printing limits, restricting color usage and forcing duplexing. 

Copiers & MFP's "Scan2Cloud Middleware Reveal"

Scanning from MFP's, every business is doing it, everyone I speak to admits it's been a boon to saving them time.

All of your current manufacturers MFP's now have standard scan2email and scan2folder. In recent months MFP manufacturers have sweetened the pie by adding additional background functionality when you scan2folder.

Such as creating a text searchable .pdf, performing OCR (optical character recognition) back to a word doc or an excel doc, or even scan2 a power point file, and least we no forget scan2cloud functionality.

It's  truly is amazing that you can walk up to the MFP and have these time saving features at the touch of a button, right?

Well, kinda, if you're a small account and all you need is to create searchable /pdf's here and there, or the occasional scan2word or scan2excel, these systems will work fine.  But what about more intensive users, lets say accounts that want every document scanned as a searchable .pdf and every document is 30-50 pages and you want to drop them off to the cloud?  This is where it can get

The Transition of the Copier Industry "Part IV"

During the 1928 Presidential Campaign the Republican National Committee ran an ad that stated based on the Harding & Coolidge administration that they had "put the chicken in every pot and car in every back yard".  With the introduction of many cloud based document management solutions like Doculex and Intellinetics the  right for Document Management Software for every business both large and small.  Forget about the paper and how about the electronic files, if you don't have a Document Management program how the heck are you finding the documents you created last week, last month or a few years ago?  I get it, they're stored on a drive, and then named under a nested folder which is under another nested folder an then another.

Think about how much time you spend looking for documents whether they are paper based or electronic, if you don't have a managed document service/software you're inefficient.

What can Copier Manufacturers Do:

First they need to forget about all of the cool acronyms and marketing gimmicks.  Today's copier  manufacturers need to start buying companies (software) and focusing on business solutions or developing a new media (that's called R & D) that that will give them a renewable revenue stream (the old renewable revenue stream was putting toner on paper).  I'm of the opinion that manufacturers should start buying companies like dropbox, officedrop, box and document management software companies that have Cloud Document Management Services.  Why let others control the document when you're in the document business?

Manufacturers could bundle their own free service and then offer a pay service. There are many SBM accounts that could benefit from a cloud service document management software. Traditionally what's held the SMB business back is cost, ease of use, and training.  Cloud services billed monthly whether by storage or clicks to create a renewable revenue stream, it's kinda like cloud back up and disaster recovery solutions, the more you store, the more you'll pay.  But cloud document management software can have an immediate ROI impact, which is unlike backup and disaster recovery solutions (who the heck wants to sell insurance, not me).

Sell monthly/annual subscription services that allow SMB accounts to connect there MFPs to share point, ms 365, their CRM, their DMS or their business line of software.  I understand their are some 3rd party companies offering these services, but what do you have to lose beside pages?  Control the document stupid!

Here's a thought, maybe buy some of the most popular CRM's or business lines of software companies and develop those connectors for your MFP's.

Here's another idea,  how about selling print licenses, here you would install 500 printers (all inclusive except for paper), have the customer buy 5 or 10 million pages upfront and then renew the license when the prints have expired.

Do what Ricoh did, come out with your own business tablet and create customized software solutions that will improve a business processes. Printed pages may go away, however the document is here forever.

I don't believe I'll see the end of putting toner or ink on paper in my time, I do believe that one day there will not be a need for paper.  If you've ever watched any StarTrek episodes, you may or may not have noticed that you never see a sheet of paper.  Who knows maybe the likes of Toshiba, Sharp, KonicaMinolta, Ricoh, Canon, Kyocera, Xerox or Samsung will market the first transporter.

Our transition to a services led approach will require us to lead with more diverse services, managed print stream, managed print, document management and storage solutions. Stay tuned for part 5 and "Whats the future for copier dealers".

Can Your Dealership Profit through the Click Charge ECM?

Darn tootin!  I wrote about the Intellenetics Enterprise Content Management solution a few weeks ago during Photizo's Global Transform show in Orlando this year.  BTW, I recommend that all MFP dealers try and make this show next year in Scottsdale, and don't rely on the data and information your MFP manufacturer is feeding you is the right solution for making a profit.

A few days ago I was treated to a Mano-a-mano webinar with the folks at Intellenetics about their "Click Charge" ECM solution that is designed for the MFP and MPS dealer channel.  Here's a few interesting items I picked up. Hmmm.....

All right seems these notes will be from memory because I misplaced the note pad that had the notes! 
  • Branding is available
  • Dealer Billing per month and then Dealer bills end user with MU
  • Direct Billing to customer and royalties paid back to dealer
  • Public portion of ECM allows users to search on their documents
And that's about all I can remember with my notes, not a big deal because Intellenetics will conduct a private webinar on July 19th for Print4Pay Hotel Members.  After I viewed the webinar a few days ago I asked them to tweak a few things and that will tell your more about the billing, and branding options along with the revenue stream royalties and the up charge for billing. 

If I had my own dealership (which I don't), I would be rolling this out to all of my SMB accounts.  First I would call them and ask them for a short 15 minutes about a new product and service we are launching. I would schedule this for one day of the week, like a Thursday and set 4-5 appointments each day.  I would then have a power point presentation set-up.  I would then guide them through the FAB (remember FAB, Feature, Advantage and Benefit),  and of course at the end when they ask how much this will this cost I will have TWO plans available.  A Premium Plan where we charge a base monthly fee and scan click charge (could be quarterly), where we (dealer) controls the uploading to the Cloud, and the indexing, and we would then train the end user on how to retrieve the documents.  The second plan would be Basic Plan, where we charge a monthly (could be quarterly) base fee and scan click charge, we would train the customer on how to index, upload and retrieve the files.

Remember it's not about the big sale, it's about the click and the ongoing annuity stream.  Most SMB accounts are scanning to a wndows based file folder and then placing documents (that are not OCR'd or in  indexed) in nested folders. If you can find the pain, which there is with this type of format you can bring home the bacon and have the best of both worlds by capturing the scans and the print clicks.  Keep in mind that Dealers have been reluctant to charge for scans because they were afraid that they would lose print clicks to the competitors who did not charge for scans. But in this scenario  you are presenting value of the ECM system and the benefit of accessing those files from the cloud.

Recently, I've been scheduling appointments for our new services, and with every appointment each customer either asked for a quote or additional information about a pain that we discovered on the appointment.  The moral of the story is to keep introducing new products and services to your existing accounts, they are a gold mine of they have pain in their business process.

Top 7 Solutions @ Transform 2012 Conference "Intellinetics @ #1"

Cost Per Page Billing for Document Management Services

Photiizo’s Global Transform has concluded for 2012.  I'll be attending the conference in Scottsdale for 2013. 
About two months ago I wrote a blog about "Managed Documents the Next Big Thing" which I related to Managed Print.  The thought was to have an MFP connect to the cloud, and then scan documents directly to a cloud based document management system or a folder in the cloud.  After the documents were there the dealer would then manage the documents to have them indexed, OCR’d.  The dealer could then charge either a monthly fee for the service or a click charge that could be added to the existing maintenance agreement.  The benefit to the customer would be no upfront cost, no training (except to retrieve the documents), no internal IT support, and no maintenance fees.  The dealer could then remain “more sticky” in the account and offer the value added service.
While at the Transform Conference I ran across an Enterprise Content Management solution that was right up my alley.  The Intellivue ECM platform from Intellenetics is available as a cost- per-page model where you pay a low monthly fee based on the number of pages you use to the software to manage.  There is no upfront cost!  Billing would be enabled on a cost per page model, there would be one cost per page for a black scan and one cost per page (higher than the black cost) for a color scan, the reasoning for the higher cost for the color is that the color scan created a larger file size. With this SaaS solution a company can realize and immediate return on investment from the first month Intellivue is deployed.
Another excellent benefit to the dealer is that they can charge professional services for the installation and training to the end user. I’m more of a fan of the dealer performing the indexing of the documents for the end user and I’m not entirely sure this can be accomplished with Intellivue.  I will be making a call to them to see if there is a way this can be done.
The concept is for the user to scan2file from the MFP, the user would then index the file and submit to the ECM on the cloud (this is the part I’d like to see the dealer do so you it could be a seem less solution for the customer and you would be able to bill professional services).  Intellivue then retains the document for Archival in the Cloud or Premise Solution.  Intellivue would then create a monthly total of Pages in the Archival tabulate the monthly bill based on the cost per page.  Intellivue can then feed the monthly page totals and cost to the MPS billing software (I’m hoping that this will also work with MFP billing software).  You MPS software would then generate the total bill including line items for hardware, supplies, services and Intellivue.  Royalties are paid to the reseller from the ECM revenues collected.
The power of this solution is that there is no upfront cost and I see Intellivue as a tremendous value for the SMB customer.  For too long the SMB customer has shied away from content management due to the upfront cost, the training, the IT infrastructure and the thought that they would have to dedicate and employee to operate the software.

Introduction to Document Management with the Cloud

I was reading an interesting article here on the mfp solutions blog about “document management” and how it is defined differently depending on the technical background of the individual referring to it.

I have found the following definition on the web:

“Document management is the process of handling documents in such a way that information can be created, shared, organized and stored efficiently and appropriately. For many businesses, the focus of document management is on the organization and storage of documents. They want to be able to store documents in an organized and secure way that still allows documents to be found easily.” (http://sbinfocanada.about.com/od/management/g/documentmgt.htm)
In my opinion you must expand the definition of “Document Management” to include the words “electronic” and “digitized”.

Document management should be the process of handling ALL kinds of documents in such a way that information can be created, shared, organized and stored efficiently, appropriately and electronically. Organizations should be able to store electronic documents in an organized and secure way that allows digitized documents to be found easily.

Thus, organizations must implement document management systems (like SharePoint) while also employing technology to digitize physical documents accurately and efficiently.

General advantages of document management systems:

  • Reduce storage through digital archiving
  • No lost files
  • Faster, structured and easy retrieval and search
  • Compliancy and security
  • Structured input (scan)and output (print)
  • Improved cash flow (business critical documents)

    Document Management can be a strange word for Copier Reps

    Document Management can be a strange word.  For some, it means "scan to network" and for others it is a whole workflow solution.  Finding a solid document management provider can be a real nightmare for a small business because of the steep costs of entry.  Regardless of what solution you choose, if there is any real "document management" and not just a scan to folder scenario, paying less than $10,000 to implement it is almost impossible.

    Here is where the nightmare occurs.  What happens when your company spends a ton of good money on a document management solution, but then finds it to be such a nightmare that no one really uses the technology.  Copier sales reps fight against using this technology consistently that we sell, how much more will sales reps in a non-technical field?

    I was chatting with a friend of mine in Colorado who has a copier company, and they are starting to get excited about a document management system called M-Files.  M-Files is an intuitive system of storing, indexing, retrieving and archiving files in a Explorer kind of view.

    Let's take an example of some of the features that might help actual users.  In a legal setting, here are some ways M-Files can help... (We'll use a Criminal Defense Attorney as an example)
    A new client comes in with a charge of disorderly conduct.  The first thing that may happen is the client fills out their intake forms as well as the contract that is going to be in place.  This contract is important as it will have signatures needed and thwart off billing debates later.  So, the client may be entered into Freshbooks or whatever CRM the attorney decides to use.  These databases automatically synch with M-Files.  So, when Bill Smith is added into Freshbooks as a new account, they are replicated into M-Files as a tagging option.  When the contract comes in, there can be a process in place that it must be tied together with a current client.  So, there is a little dropdown menu that has all of the clients listed and one of those is Bill Smith.  Now, M-Files can send this over to Mary the accountant so she knows the billing rates.
